🚪 Visitor management

Check visitors in at the gate — registered or walk-in — with a live monitor at reception.

  • The reception desk or gate where visitors check in.
  • A screen or tablet at that desk for the monitor.

🧭 Step by step

🚪 Create a QR gate for reception

User Manager › QR Manager

Create a gate at the point where visitors check in — the reception desk or the security gate.

🎪 Create a visitor event

Visitor Manager › Event Manager

Open "Event Manager", enter "Name Event", keep or change "Select Event Type" (defaults to "Visitor - Skip 2nd Verification"), set "Current Day Check-in Threshold" (defaults to 100) and pick the start date.

Tick the gate in the "List Gates" grid and press "Create Event". The event is the container that collects every visit, which is what makes reporting possible.

▶️ Start the event

Activate the event so the system begins recording arrivals.

Watch out
  • Two common errors when creating: an empty name gives "Event name cannot be empty", and no gate selected gives "Please select gates".

👀 Open the visitor monitor

Visitor Manager › Visitor Monitor

Open "Visitor Monitor" on the reception machine to watch people arrive and leave in real time.

This screen handles walk-ins — visitors who never registered and simply declare themselves on arrival.

🧑‍💼 Monitor accompanying staff

Visitor Manager › Staff Monitor

"Staff Monitor" tracks staff taking part in the event, useful when you need to know who is hosting whom.

📊 Export the report

Visitor Manager › Event Manager

When the event ends, export the visit report for your records or for a security review.

❓ Frequently asked questions

1 Does it work for visitors who did not register?

Yes — that is the point of difference from e-tickets. Walk-in visitors declare themselves on arrival with no prior registration.

2 How is this different from the e-ticket module?

E-tickets are for events with registration and emailed tickets. Visitor Manager is for day-to-day arrivals at your office or factory gate.

3 Do I need a dedicated screen at reception?

It helps. The monitor lets reception or security see immediately who is in the building.

4 Can I export visitor data?

Yes, export the event’s visit report for your records.
