🧭 Step by step
⚙️ Declare your document types
Staff Info & Document › Config
Open "Config" and declare the document types your company keeps for staff.
Declaring them first means every employee’s file has the same shape, so you can see at a glance who is missing what.
- Duplicate names are rejected on save, so each type needs its own name.
🗂️ Open an employee’s file
Staff Info & Document › Info & Document
Open "Info & Document". The page has a "Group" selector, an "Owner (Email)" selector (defaults to "All"), a "Query" button and a quick filter box.
Press "Query" to load the grid, type an email into the filter to find the person, then double-click their row (or right-click and choose "View") to open their document file.
📎 Upload the files
Upload scans or photos against the file. You can delete and re-upload if a copy is unclear or wrong.
- Unsupported file types are rejected. If an upload is refused, convert the file to a supported format and try again.
⏰ Track expiry dates
For documents with an expiry date, the system warns you as the date approaches.
HR can then renew proactively instead of discovering the lapse afterwards.
🗑️ Trash and recovery
Staff Info & Document › Trash
Deleted documents move to "Trash" rather than disappearing, so an accidental deletion can be undone.
- Check "Trash" before concluding a document is gone — it is very often just sitting there.
❓ Frequently asked questions
1 What kinds of document can I store?
Whatever you declare in the config: employment contracts, certificates, permits, health records and anything else you need.
2 Will I be warned before something expires?
Yes. Documents with an expiry date raise a warning ahead of time so you can renew.
3 Can I recover a document I deleted by accident?
Yes — deleted documents sit in "Trash" and can be restored.
4 Who can see staff documents?
Only accounts permitted to open this screen. Use access permissions to restrict it to your HR team.
