User management
Create staff accounts, group them, assign roles and manage each person’s attendance QR.
User Manager › User Manager ✅ Before you start
- A company (admin) account to sign in to the company portal.
- Your staff list with email addresses — each person needs their own email.
- Decide your group structure up front (department, shift, branch) so you can assign as you go.
🧭 Step by step
🔑 Open the user list
User Manager › User Manager
Sign in to the company portal, open the "User Manager" group in the left navigation and pick "User Manager".
The same group holds three more entries: "QR Manager" for attendance gates, "Map" for locations, and "Account" for your own profile.
➕ Add a new user
User Manager › User Manager
Press ➕ above the "List of Users" grid. A dialog opens: type the person’s email and press "Search" — the system looks the address up first, then opens the full add form.
Pick the appropriate "Role" (for example Company), fill in the remaining details and press "Add User". The dialog closes itself and the new person appears in the grid.
Email is the person’s identity in the system — they sign in to the staff portal and receive notifications with it.
✏️ Edit user details
User Manager › User Manager
Use the edit button on a row to update name, phone, avatar or contact details.
Changes take effect everywhere at once — attendance, leave and payslip all read the same user record.
👪 Create user groups
User Manager › User Manager
Groups let you act on many people at once instead of one by one: granting leave allowance, choosing notification recipients, filtering reports.
Model them on how you actually work — by department, by shift or by branch — then assign each person to the right group.
🔍 Search and filter
User Manager › User Manager
Once the list grows, use the search box above the grid to filter by name or email.
The grid also has a reload button so you pick up changes made by other administrators.
🗑️ Delete a user
User Manager › User Manager
Use the trash button on the row. A confirmation dialog appears before anything is removed.
- You cannot delete yourself. The row whose "Allow Login To Account" column reads ADMIN is the company owner and is protected: you get "You are not allowed to delete yourself on this table." and the row stays.
- The block applies both to the trash button and to selecting the row and using the right-click "Delete All Selected Items". It is re-checked on the server, so it cannot be worked around from the interface.
❓ Frequently asked questions
1 Can one person be both staff and administrator?
Yes. An account can carry several roles, so a manager still clocks in and requests leave like everyone else while also administering the company portal.
2 How many users can I have?
The free plan allows up to 3 users with 3 months of attendance history.
Paid plans are priced per user per month — see the pricing page.
3 What do staff sign in with?
The email address you entered when creating their account, which is why each person needs their own rather than a shared mailbox.
4 Can I delete my own admin account?
No. The system blocks it so a company can never lock itself out. To hand over, create and empower the new administrator first, then remove the old account.
5 What are groups for?
Bulk actions: granting leave allowance to a whole department, picking notification recipients, or filtering reports by team instead of selecting people individually.
