Multi-method attendance
Clock in with a QR code at the gate, backed by GPS, verification photos and FIDO2 fingerprint.
User Manager › QR Manager ✅ Before you start
- Your staff already created in the User Manager module.
- The list of places where people should clock in: main gate, workshop, branch office…
- A printer for the QR code at each location.
🧭 Step by step
🚪 Create an attendance gate
User Manager › QR Manager
Open "QR Manager" and create one gate per place where people should clock in. Each gate produces its own QR code.
Name gates after the real location so reports are easy to read later — "Main gate", "Workshop A", "District 1 office".
👥 Assign staff to the gate
User Manager › QR Manager
Choose which people are allowed to clock in at that gate. Anyone not assigned cannot record attendance through that code.
Assigning per gate gives you control over who clocks in where — useful once you have several sites.
🖨️ Print and mount the QR code
User Manager › QR Manager
Open the gate’s QR code, print it and mount it at that exact location. Print it large and sharp so phone cameras read it instantly.
The QR encodes an ordinary link, so a phone camera opens the attendance page with nothing to install.
- Laminate or frame the code for daily use, especially outdoors or on a factory floor.
🔐 Choose the verification methods
Beyond scanning, the system supports extra layers: an attendance password, a verification photo, GPS location, and fingerprint via the FIDO2 standard.
Pick what fits your environment. A password is simplest; photo and GPS give stronger evidence of who clocked in and where.
- A wrong attendance password is rejected and no attendance is recorded — brief your staff before you switch it on.
📲 Staff clock in and out
People scan the gate QR to check in on arrival and check out when they leave, straight from the phone browser.
They can also reopen their most recent check-in from the staff portal to add a verification photo if you enable that option.
📊 Check the attendance report
TimeLog › Attendance Report
Once people start clocking in, open "TimeLog" › "Attendance Report" to review the data by date and by person.
This is also where you export the figures you will use for payroll.
🕘 How employees check their own attendance
User portal › Attendance history
Staff can answer "did my check-in register?" themselves instead of asking you. They sign in to the user portal and click "Attendance history"; the grid loads immediately for the last thirty days, with no button to press.
Each row is one gate on one day, showing the "Organization", the "Gate ID", the first "Check-in", the last "Check-out" and the "Total Time" between them. To look at another period they change "From Day" or "To Day" and press "Search".
The screen is deliberately read-only. There is nothing to add, edit or delete — a missed punch has to be corrected by you, which is exactly what keeps the record trustworthy.
- Somebody who passes two gates in one day gets two rows, one per gate, not a single merged day.
- Days are grouped by the local day of the account timezone, so a late-evening check-in is filed under the local date the employee would expect.
- An empty result is shown as a red error rather than a neutral "nothing found". It usually means there was simply no attendance in that range, not that anything is broken.
- On first open an empty range shows a blank grid with no message at all. Only pressing "Search" produces the notice.
- The timezone comes from the account setting, not the browser. Changing it shifts every historical row, so it is worth setting once and leaving alone.
❓ Frequently asked questions
1 Do staff need to install an app?
No. The QR is just a web link — a phone camera opens it and everything happens in the browser.
2 What verification methods are available?
QR scanning combined with an attendance password, a verification photo, GPS location and FIDO2 fingerprint.
You choose the level of control that suits you.
3 How many gates can a company have?
Create one per location you want people to clock in at. The number available depends on your plan — see the pricing page.
4 What if someone scans the wrong gate?
People can only clock in at gates they are assigned to. An unassigned scan is not recorded.
5 How long is attendance data kept?
The free plan keeps 3 months of attendance history; paid plans keep 48 months. See the pricing page.
